What Is an AI Agent?
An AI agent is software that can read a situation, decide which steps apply, use your systems to look things up, and carry a job through to something finished. A chatbot only talks. An agent does something, and then tells you what it did.
Most People's Idea of AI Is a Chat Window.
You go to it, you type a question, it types an answer, and you close the tab. That is genuinely useful, and it is the smallest possible version of what this technology does. It is also why plenty of owners have tried AI, concluded it is a clever toy, and moved on.
The window knows nothing about your business unless you paste it in. It cannot see your calendar, your customer history, or your pricing. It cannot book anything, send anything, or notice anything. And it does nothing at all unless you are sitting there driving it.
An agent is built the other way around. Same underlying technology, completely different thing: it lives inside your operation, it already knows your rules, and it acts.

Three Things Have to Be True.
It works out what to do
Not a fixed path with a trigger at the top. It reads what actually came in, works out which of your rules apply, looks things up where it needs to, and carries the job through to something finished. Two enquiries that arrive worded completely differently get handled correctly, which is the thing rule-based automation cannot do.
It does not clock out
The enquiry that lands at nine on a Saturday gets the same treatment as the one at ten on a Tuesday. No queue, no Monday morning backlog, no depending on somebody remembering. For businesses whose customers have urgent problems at inconvenient hours, this is most of the value on its own.
You can see everything it did
Every action logged in plain language, and the steps that carry real consequences waiting on approval until you have seen enough to trust them. This is the part vendors skip and the part that decides whether you can safely let it near a customer.
How to Tell Them Apart.
A CHATBOT
Answers questions in a box. Ask it something outside its script and it loops, deflects, or invents an answer. Useful for deflecting FAQ traffic, useless for finishing work.
AUTOMATION
If this happens, do that. Fast, cheap, and completely dependable inside the cases somebody mapped. Outside them it stops dead or does the wrong thing confidently.
AN AGENT
Reads the situation and decides which rules apply, using your systems as it goes. Handles the case nobody predicted by stopping and asking a person, rather than guessing.
One question tells you which one you are being sold.
Ask what it does when it does not know the answer. A chatbot invents. An automation stops. An agent should hand the whole thing to a human, with everything the customer already said attached.

+Is an AI agent the same as ChatGPT?
No, though they can share the same underlying model. ChatGPT is a window you visit and ask things. An agent is software built into your operation that already knows your rules, can reach your calendar and customer records, and takes action without being asked. The model is the engine; the agent is the vehicle built around it.
+Does an AI agent need to talk to customers?
Not necessarily. Plenty of useful agents never speak to a customer at all. They watch for work that has stalled, assemble documents, reconcile records, or flag things a person should look at. Conversation is one thing an agent can do, not the definition of one.
+Can an AI agent make mistakes?
Yes, which is why the boundaries matter more than the capability. A well-built agent is told what it must never decide alone, and stops and hands over rather than guessing. A badly built one sounds equally confident either way, and you are responsible for what it says to your customers.
